Refund & Cancellation Policy

Seller of record: Paid subscriptions are sold and processed by our payment provider Paddle (Paddle.com), which acts as the Merchant of Record. Paddle handles payment, invoicing, applicable VAT/taxes, and the statutory right-of-withdrawal notice presented at checkout. Billing enquiries and refunds are administered through Paddle.
This policy explains how our paid subscriptions are billed, how to cancel, when refunds apply, and how the statutory 14-day right of withdrawal works for immediately-provided digital services. It follows standard practice for consumer (B2C) SaaS and is written to be consistent with German and EU consumer law.
1. Scope
This policy applies to paid subscription plans (Adventurer, Lore-Keeper, and Archivist), billed monthly or annually. The free plan (Scribe) is not charged and is not covered by the payment, withdrawal, or refund sections below.
2. Subscriptions, billing & renewal
- Subscriptions are offered on a monthly or annual basis and renew automatically at the end of each billing period until cancelled.
- Prices are shown inclusive of applicable VAT for consumers. The price and interval you agreed to at checkout apply for that period.
- Payment is collected by Paddle at the start of each period. You will receive an invoice/receipt from Paddle for each payment.
3. Immediate access & withdrawal / cooling-off rights by region
We provide access to a digital service immediately upon purchase. Whether a statutory “cooling-off” / withdrawal right applies depends on where you live.
3.1 Consumers in the EU / EEA
As an EU/EEA consumer you generally have a statutory 14-day right of withdrawalfor distance contracts. However, because access is provided immediately:
- At checkout you are asked to expressly consent to us beginning provision of the service immediately, before the 14-day withdrawal period expires; and
- you acknowledge that, by requesting immediate provision, you lose your right of withdrawal once the service has been fully provided, in accordance with § 356 (4)/(5) of the German Civil Code (BGB) and the corresponding EU Consumer Rights Directive.
The binding statutory withdrawal instruction (Widerrufsbelehrung) and this consent are presented to you by Paddle at the point of purchase in your language. If you do not provide this consent, you should not complete the purchase.
3.2 Consumers outside the EU / EEA (rest of world)
The EU 14-day right of withdrawal does not apply outside the EU/EEA. Your rights instead depend on the consumer-protection law of your own country of residence, which our payment provider (Paddle, acting as Merchant of Record) applies where required. Because access is provided immediately, subscription fees are non-refundable once the subscription begins, except where a refund is required by your local law or granted under our discretionary policy (Section 5). You may cancel at any time under Section 4.
4. Cancelling your subscription
- You may cancel at any time from your account’s billing management (provided via Paddle) or by contacting us.
- Cancellation stops the next automatic renewal. Your paid features remain active until the end of the period you have already paid for; you are not charged again.
- At the end of that period your account reverts to the free (Scribe) plan. Your data is not deleted — your existing content is retained, though while on the free plan you may be unable to create additional content beyond the free-tier limits until you upgrade again.
5. Refunds
Because access is provided immediately and you consent to immediate provision (Section 3), subscription fees are generally non-refundable, including for partial or unused portions of a billing period after it has begun. Cancelling stops future charges but does not retroactively refund the current period.
The following are not affected by the above and may be refunded:
- Charges you are entitled to have refunded under mandatory statutory consumer rights (see Section 10).
- At our reasonable discretion, cases such as a duplicate charge, a verified technical fault on our side that prevented you from using a paid feature, or an accidental renewal reported promptly and before meaningful use of the new period.
Approved refunds are issued through Paddle to your original payment method. To request one, contact us (Section 11) or Paddle with your order/receipt details.
6. Free plan
The Scribe (free) plan is fully functional for a complete campaign and is provided at no charge. There is nothing to cancel or refund on the free plan.
7. Price changes
We may change subscription prices. Any change applies only to future billing periods, and we will notify affected subscribers in advance. If you do not accept a new price, you may cancel before it takes effect at your next renewal.
8. Failed payments
If a renewal payment fails, Paddle may retry it over a short grace period. If payment cannot be collected, paid features are suspended and the account reverts to the free plan. Your data is retained; restoring a valid payment method restores access.
9. Chargebacks
If you believe you were charged in error, please contact us or Paddle first — we can usually resolve billing issues faster than a bank dispute.
10. Your statutory rights
Nothing in this policy limits or excludes your mandatory rights under applicable consumer protection law (including statutory warranty rights for defects, §§ 434 ff. BGB, and rights that cannot legally be excluded). Where this policy conflicts with a mandatory statutory right in your favour, the statutory right prevails.
